What a custom CRM actually means

Off-the-shelf CRMs make you bend your sales process to fit their template: stages you never use, fields that stay empty, and reports that answer someone else's questions. A custom CRM works the other way round — the pipeline stages, fields, roles and reports are built around what your team actually does.

We offer two routes: building a custom CRM on your own server, or installing and tailoring Masir CRM, our open-source WordPress plugin that brings the same capabilities to the WordPress site you already run. Either way, the data stays in your own database and the AI key stays yours.

When you need a custom CRM

The sales team lives in spreadsheets

Every rep keeps their own file, the latest state of each customer exists only in one person's head, and it leaves with them.

Leads slip through the cracks

The website form sends an email, WhatsApp brings a message, the phone rings — and none of it lands in a single list anyone can work from.

Contracts live in chat threads

Several versions of the same contract are scattered across conversations and nobody is sure which one was signed.

Management has no live reporting

Seeing the pipeline or the conversion rate means asking the team for a report and waiting days for it.

The data must not leave your infrastructure

Customer records and contracts have to stay on hardware you control, with access rules you define.

How we build your CRM

  1. 1

    Mapping your sales process

We sit down and chart the real customer journey from first contact to signed contract — the stages your team goes through today, not a textbook model.

  2. 2

Designing the data model and pipeline

Contacts, companies, deals, activities and contracts are defined with the fields you actually need, and the kanban stages are laid out to match.

  3. 3

    Deploying on your infrastructure

The CRM is installed on your own server, your website forms are wired into it, and emails go out through the mail service you already use.

  4. 4

    Adding the AI layer

Lead scoring, conversation summaries, next-action suggestions and an assistant that answers only from the data in this CRM — running on your own API key.

  5. 5

    Training the team and handover

We set up roles and permissions, train your team, and hand over the documentation.

What it connects to

A CRM should not be an island. Leads arrive from wherever they come in today, and emails go out through the service you already have.

  • Website forms (leads captured automatically)
  • The Aivand chatbot on your site, Telegram and WhatsApp
  • Your organisation's existing email service
  • Other systems through their API
  • The AI provider of your choice: Liara, OpenRouter, OpenAI, Anthropic, or any OpenAI-compatible service

On your own server and database

All of the data — contacts, deals, contracts and conversation history — stays in your own database. The only outbound traffic is the AI requests, which go straight from your server to the provider whose key you entered. If you enter no key at all, the CRM works in full and only the AI features stay switched off.

Custom CRM vs. off-the-shelf

An off-the-shelf CRM starts faster, but the more particular your business is, the more that speed costs you later.

  • Pipeline stages, fields and reports are built to match your process, not the other way round.
  • No monthly per-seat subscription — the software runs on your own infrastructure.
  • The data stays in your database, and you define the roles and permissions yourself.
  • The AI sits inside the workflow: a lead score and a conversation summary next to the deal itself, not in a separate tool.

Time to launch

A CRM usually takes 1–2 weeks to set up. The exact time depends on how many pipeline stages and custom fields you need, and how many systems have to be connected.

Cost

Cost depends on your needs: how complex the sales process is, how many systems must be connected, and whether you want a fully custom CRM or the WordPress edition. After a free consultation we give you a clear estimate.

Frequently asked questions

Where is our data stored?

In your own database, on a server you choose. The only thing that leaves your server is the AI requests, which go to the provider you selected.

What happens if we have no AI key?

The CRM works in full. Only the AI features — lead scoring, summaries and the assistant — stay inactive until you add a key.

Does the AI email customers by itself?

Never. The AI only drafts; reviewing and sending is always a separate, manual action.

Can it run on our existing WordPress?

Yes. Masir CRM is our WordPress plugin and installs on the site you already have — no new server required.

How many users can use it?

There is no user limit. Four roles are defined — owner, manager, agent and viewer — and each role's access is configurable.
